# Free UK mileage log: road miles, HMRC rates, PDF & Excel

## Quick answer

DriveQuery's free UK mileage log calculates **road miles from the start and destination you enter**, lets you record business/private status and journey purpose, estimates the relevant 2026/27 HMRC own-vehicle mileage amount and exports a PDF or Excel report.

**No account. No journey storage.** Download the file before closing the page if you want to keep the record.

## HMRC mileage rates 2026/27

For the 2026/27 tax year, HMRC's Approved Mileage Allowance Payment rates are:

| Vehicle | Approved rate |
| --- | --- |
| Car or van | **55p/mile** for the first 10,000 business miles in the tax year, then **25p/mile** |
| Motorcycle | **24p/mile** |
| Cycle | **20p/mile** |
| Eligible fellow-employee passenger in a car/van | **+5p/mile per passenger** when HMRC conditions are met |

Electric and hybrid cars are included in the car/van AMAP category. The 55p/25p calculation is for qualifying business travel in an employee's **own car or van**; company-car fuel/electricity reimbursement uses different rules.

## What should a mileage log contain for HMRC?

HMRC says employees claiming tax relief should keep mileage records. When mileage logs are sent with a claim, HMRC says they must include:

- the **reason for every journey**
- the **postcode for the start point** of every journey
- the **postcode for the end point** of every journey

HMRC also tells employees to keep records of the dates and mileage of work journeys. Employers need records supporting business journeys and mileage payments too.

DriveQuery lets you enter the journey date, start/destination, purpose and miles, then export the record. Review the report against your employer's policy and HMRC requirements before submitting it.

## Starting part-way through the tax year

The car/van AMAP rate changes after 10,000 qualifying business miles in the tax year. If you already have business mileage before the journeys in this report, enter it under the **10,000-mile threshold** option.

Example: with 9,900 previous business miles and a new 200-mile business journey, 100 miles fall in the 55p band and 100 miles in the 25p band. Eligible passenger payment is added separately.

## How the free mileage log works

1. Enter journey date, start and destination.
2. DriveQuery calculates the road route and distance.
3. Check the route on the map and correct the miles if your actual journey differed.
4. Mark the journey Business or Private and add its purpose.
5. Add more journeys; the previous destination can carry forward as the next starting point.
6. Download PDF or Excel.

The browser tool does **not** save journeys to DriveQuery, localStorage, sessionStorage or an account. The downloaded file is your record.

## Business mileage is not the same as commuting

Selecting Business in the tool is a reporting label, not a tax decision. Ordinary commuting between home and a permanent workplace is normally private travel for HMRC purposes. Temporary-workplace and other business-travel rules can change the answer, so classify each journey based on its actual facts.

## Common questions

### Is this mileage log free?

Yes. The manual browser tool works without an account and exports PDF and Excel.

### Does it calculate HMRC mileage allowance automatically?

It estimates the approved amount for the selected own-vehicle mode using the 2026/27 rates and the business miles in the report, including the 10,000-mile threshold and eligible passenger option.

### Is the 55p rate also the company-car electric rate?

No. 55p/25p is the AMAP framework for qualifying business travel in an employee's own car or van. Company-car electricity/fuel reimbursement uses separate HMRC rules.

### Does DriveQuery store my mileage log?

No. In this free tool the journey list exists only on the open page. Download PDF or Excel before closing the page.
